Getting the Basics Settled

  • Confirm where day-to-day life is based for you and the kids, no ambiguity about whose roof, whose school run, whose week
  • Set consistent routines (school, sleep, meals) to give the kids something steady while everything else shifts
  • Agree one method for co-parenting communication, so nothing important gets lost across five different apps
  • Record the actual separation date. It sounds like a small thing, but it becomes the reference point for everything financial and legal that follows, and it's surprisingly easy to lose track of once a few months pass
  • Agree and write down handover arrangements, time, place, who's responsible, so it's predictable instead of renegotiated every week
  • Make sure emergency contacts and immediate wellbeing needs are current

Children, Core Information

  • Make sure both parents can access school, sports, and activity updates directly from the source, not relayed secondhand
  • Confirm key child records are current: enrolment, medical files, allergies, contacts
  • Locate and securely store birth certificates, passports, and any existing legal agreement, somewhere you won't be digging for it at 7am when a form is due

Financial Setup

  • Identify shared financial commitments so nothing gets assumed or quietly dropped
  • Separate personal and shared expenses going forward
  • List ongoing household and subscription payments so nothing's forgotten mid-transition
  • Track child-related expenses as they happen, this is the one habit that saves the most arguments later. "I think I paid for that" isn't the same as knowing you did
  • Review automatic payments and direct debits tied to the old arrangement
  • Keep a running, dated record of what's been paid and by whom

Communication Setup

  • Settle on one primary channel for co-parenting communication
  • Keep key agreements and decisions somewhere you can actually find them again
  • Keep messages factual and about the kids, it reduces misread tone and gives you less to untangle later
  • Get important agreements confirmed in writing, even a text back saying "sounds good" counts

Digital & Account Safety

  • Turn off location sharing you no longer want active
  • Review shared accounts and access, Apple ID, Google, streaming, shared calendars, so only the access you intend stays active
  • Check which apps still have visibility into your photos, messages, or cloud storage
  • Update passwords on anything that matters

Daily Life Organisation

  • Confirm school drop-off and pickup arrangements
  • Sort after-school care and activities so the schedule is actually predictable
  • Decide which household handles what, so nobody's guessing
  • Keep a shared or aligned calendar so nothing gets double-booked or missed

Keeping a Record As You Go

This is the part most people skip, right up until they need it. A single place for notes, messages, and expenses beats five scattered ones, logged close to when it happened, not reconstructed from memory three months later. If your situation ever needs it in front of a lawyer or the court, having it already organised means you're not building that case from scratch under pressure, you're just handing over what you already have.
